Job Opportunity: Property Administrator – Retail

📍 Location: The Constantia Village, Cape Town (Southern Suburbs)

Job Overview

Elite Business Service is looking for a Property Administrator to provide essential administrative support to the Centre Manager in managing a retail property portfolio. This role involves handling lease administration, debtor management, and building maintenance administration, ensuring accurate record-keeping of contracts and invoices.

Reporting Structure

  • Reports to: Centre Manager
  • Direct Reports: None
  • Budget Responsibility: None

Key Responsibilities

  • Draft and send lease agreements and tenant criteria documents.
  • Follow up on outstanding lease agreements and FICA documentation.
  • Handle lease agreements for renewals, new lets, cessions, cancellations, addendums, and parking agreements.
  • Coordinate with tenants, Portfolio Managers, Leasing Managers, Credit Controllers, and agents regarding lease agreements.
  • Ensure correct system loading of agreements and debit orders.
  • Maintain and update tenant files and lease audit records.
  • Generate reports on new lets, renewals, and outstanding leases.
  • Assist the Portfolio Manager and Strategic Business Unit (SBU) as needed.
  • Notify meter readers of tenant changes.
  • Assist with monthly report compilation and budget processes.
  • Support with deposit refunds and bank guarantee returns.
  • Process annual insurance rate adjustments on MRI software.
  • Conduct take-back inspections and notify relevant managers.
  • Address tenant queries related to maintenance, utilities, and accounts.
  • Generate weekly and monthly reports on lease statuses and vacancies.

Qualifications & Experience

  • 2-3 years of experience in administration, documentation, or secretarial roles.
  • Knowledge of leasing processes and documentation is advantageous.
  • Post-matric qualification in Property Management or a relevant diploma/degree is required.
