Position: Project Administrator

Location: Midrand, Gauteng


Job Overview

We are seeking a detail-oriented and proactive Project Administrator to support our Project Management Office (PMO). The role involves managing administrative tasks and ensuring smooth project closure processes. This includes completing all necessary documentation, processing financial transactions (labour, materials, subcontractors, consumables), and facilitating handovers to the service department for ongoing maintenance and support.


Minimum Qualifications & Experience

  • Matric (Grade 12)
  • Minimum of 3 years’ experience in project administration
  • At least 3 years of financial and general administrative experience in a project-based environment
  • Strong understanding of project management methodologies and revenue processes
  • Proficient in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint)

Key Responsibilities

  • Schedule and coordinate weekly and monthly meetings, recording key decisions and assigned tasks
  • Update project schedules using SAP (CS and PS modules)
  • Process purchase orders for equipment, subcontractors, and software as requested by Project Managers
  • Manage technician bookings on a weekly basis
  • Handle administrative bookings: accommodation, leave, overtime, travel allowances, and expense claims for PMO resources
  • Prepare and distribute documentation to internal teams and stakeholders as needed
  • Track project-related expenses and provide financial updates to Project Managers and the Head of PMO
  • Serve as the main contact point for all PMO participants
  • Log Incident of Discrepancy (IOD) reports for PMO resources
  • Receive project files from Sales and verify completeness before passing them to the Head of PMO
  • Manage the purchase order process (within a 2-day turnaround) and ensure PO documentation is filed appropriately
  • Process delivery notes (DN), goods received notes (GRN), proof of delivery (POD), and tax invoices for recordkeeping
