Administrator (Operations)

Introduction

We are a leading provider of refrigeration and drink dispense services, currently seeking an experienced Operations Administrator to support the smooth functioning of our branch operations. This role is vital in ensuring service excellence by closing callouts within SLA timeframes, managing inventory effectively, and overseeing petty cash with integrity and accuracy.

Salary: R14 000 to R16 000

Beyond operational oversight, the role supports team collaboration, encourages a positive work environment, and promotes interdepartmental communication. Through diligent record-keeping and administrative assistance, the Operations Administrator enhances workflow efficiency and contributes to overall team productivity.


Key Responsibilities

  • Ensure all service callouts are resolved and closed within agreed SLA timelines
  • Accurately quote and invoice all delivery and technician service activities
  • Track and analyze technicians’ travel and kilometre claims
  • Handle client queries via phone and email professionally
  • Maintain up-to-date records on internal systems, including job cards and stock data
  • Dispatch technicians efficiently, optimizing routes to reduce costs and travel distances
  • Maintain accurate reporting and submit weekly/monthly reports as needed
  • Conduct regular vehicle inspections and manage vehicle maintenance and licensing
  • Ensure warehouse is clean, organized, and compliant with standards
  • Track CarTrack compliance and performance of technicians
  • Oversee petty cash, including timely submissions, organized record-keeping, and proper authorization
  • Support stock control functions and ensure periodic stock counts
  • Provide quotes for repairs and prepare documentation for jobs
  • Assist with miscellaneous administrative tasks and any lawful duties as assigned by management

Qualifications & Experience

  • Relevant qualification in administration or operations
  • 1–2 years’ experience as a Warehouse or Operations Administrator
  • Experience with stock management
  • Previous exposure in a client service environment is preferred

Skills & Knowledge

  • Strong analytical and data-capturing skills
  • Intermediate proficiency in Microsoft Office
  • Experience working with database systems
  • Excellent telephone etiquette and communication skills
  • High attention to detail and accuracy
