Full Job Description

Administrative Data Management

  • Perform administrative tasks to support an efficient transcription process, adhering to company policies and procedures.
  • Maintain an electronic filing system by accurately organizing and keeping records readily accessible in line with SOPs and legislative requirements.
  • Ensure proper record management to support an effective Quality Management System.
  • Collect, organize, and accurately capture current materials in the required format.
  • Transcribe documents, forms, and templates into controlled templates, ensuring compliance with quality management standards.
  • Track and monitor project outcomes to align with established timelines.
  • Consistently meet daily performance targets.
  • Compile and submit management information or reports to relevant managers.
  • Maintain confidentiality of all information and documentation at all times.
  • Record meeting minutes and distribute them to stakeholders to support project delivery timelines.

Stakeholder Engagement

  • Collaborate with stakeholders to gather information required for accurate documentation transcription.
  • Submit completed and approved templates, forms, and records to appropriate departments or managers for further action.
  • Work with management to obtain task approvals and ensure compliance with business standards and requirements.

Minimum Requirements: Work Experience

  • 1 year of experience in an administrative role, including:
    • Data capturing or typing at a junior level.
    • Proficiency in Microsoft Word and Excel.

Minimum Requirements: Education

  • Matric (High School Certificate).
