We are looking for an Admin Officer based at Clan Nursery to provide administrative support for managing the Sappi nursery to ensure nursery objectives are met.

As an Admin Officer, your responsibilities will include:

  • Manually capturing data for transport schedules, contractor log sheets, production records, stock records, despatches/sales records, fuel log sheets, and e-leave to maintain accurate records.
  • Generating SAP requisitions and ensuring that purchase requisitions, order numbers, and tax invoices are processed using SAP to ensure timely vendor payments in line with company policy and internal procedures.
  • Establishing and maintaining an effective procurement system with associated tracking of delivery and processing of related documents to ensure compliance with current finance records.
  • Compiling monthly reports on safety, diesel issues, time attendance, nursery sales records, and procurement for management information.
  • Administering and controlling petty cash and general income in line with company policy.
  • Receiving plant requests from internal and external customers and aligning requests with orders and plant stocks to ensure an efficient supply of plants.
  • Scheduling the delivery of plants according to supplier nursery requests by arranging logistics or delivery schedules to meet customer requirements.
  • Reconciling job instructions to nursery despatches to ensure accurate nursery records.
  • Managing safety systems for the region using Isometrix, Behaviour Based Safety (BBS), and NOSA systems to meet Sappi safety audit requirements.
  • Attending monthly SHEQ meetings to provide information on safety, minute-taking, and distributing minutes.
  • Compiling written safe work procedures (WSWP), Planned Job Observations (PJO), and pre-work assessments to issue to the safety committee for implementation and completion.

What We Are Looking For:

  • Grade 12 or equivalent NQF level certificate.
  • An administrative qualification is preferable.
  • Minimum of 3 years of relevant experience.
  • Strong computer literacy; SAP proficiency is preferable.
  • A driver’s license is advantageous.
