Job Title:
Administrative Support Officer – Legal Services Department (LSD): Management Support Section
Location: Johannesburg, Gauteng


Job Purpose

The primary objective of this role is to provide administrative support to the Legal Services Department’s Management Support Section. This includes assisting with day-to-day operational functions and ensuring smooth workflow within the department.


Key Responsibilities

  • Participate in short-term planning and execute tasks as per the team’s work plan in collaboration with the team leader.
  • Carry out a variety of administrative duties, including but not limited to:
    • Records management
    • Correspondence handling
    • Strategy and legal panel administration
    • Management reporting
  • Support the financial administration of the department by:
    • Processing invoices
    • Procuring goods/services
    • Collecting vendor information
    • Ensuring timely and accurate payment processing
  • Assist the team leader/manager in fulfilling roles such as records management, IT support, facilities coordination, training administration, and fixed asset oversight.
  • Contribute to business continuity planning and assist in managing responsibilities under the Occupational Health and Safety Act.
  • Support risk and compliance functions, including maintaining risk matrices and following up on audit-related actions.
  • Assist in preparing the department’s annual budget and track expenditure throughout the year.
  • Engage effectively with both internal and external stakeholders who provide services to the department.
  • Provide ad-hoc and project-based administrative support, ensuring adherence to policies and procedures.
  • Operate independently within established guidelines, applying sound judgment to solve problems in line with departmental protocols.
  • Demonstrate initiative in identifying performance gaps and addressing them proactively.

Minimum Requirements

Qualifications

  • A Higher Certificate (NQF Level 5) in Administration, Records Management, or an equivalent qualification

Experience

  • At least 2–3 years’ experience in an administrative or management support role

About the Legal Services Department

This department ensures all legally binding decisions and actions of the Bank are compliant with applicable laws and regulations, thereby minimizing legal risks and maintaining institutional integrity.
