Job Opportunity: Administrative Assistant

Introduction:
We are looking for a highly organized and detail-oriented Administrative Assistant to provide essential support to brokers and financial advisors. The ideal candidate will play a crucial role in ensuring efficient administrative operations, managing client interactions, and maintaining compliance within a fast-paced financial services environment.
Key Responsibilities:
1. Administrative Support
- Provide comprehensive administrative assistance to brokers and advisors.
- Organize and maintain client files, documentation, and correspondence.
- Assist in the preparation of client proposals, reports, and presentations.
- Update and manage CRM systems and databases.
- Handle scheduling, calendar management, and appointment coordination.
2. Client Service & Communication
- Serve as the first point of contact for client inquiries, ensuring professional and timely responses.
- Coordinate and schedule client meetings, prepare agendas, and take minutes.
- Follow up on client requests and ensure all required documentation is received.
- Maintain strong client relationships by providing regular updates and assistance.
3. Compliance & Documentation
- Ensure all client documentation and transactions comply with regulatory and company policies.
- Assist in completing and submitting financial applications and compliance paperwork.
- Maintain accurate records of client interactions and transactions.
- Support advisors in meeting compliance deadlines and reporting requirements.
4. Operations & Workflow Management
- Assist with processing applications, policy updates, and claims submissions.
- Liaise with insurers, asset managers, and financial institutions regarding policies.
- Track and follow up on pending applications and approvals.
- Identify and resolve operational challenges in daily workflows.
- Support brokers and advisors with client engagement initiatives and event coordination.
Desired Qualifications & Experience:
- Education: Diploma or degree in Business Administration (preferably within financial services).
- Experience: Minimum of 3 years in an administrative role, preferably in financial services.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and CRM systems.
- Regulatory Knowledge: Understanding of financial regulations and compliance requirements is a plus.
- Communication: Strong verbal and written communication skills, with the ability to interact professionally with clients and stakeholders.
- Organizational Skills: Ability to multitask, manage priorities, and maintain attention to detail in a fast-paced environment.
- Problem-Solving: Proactive approach to identifying challenges and implementing effective solutions.
