Job Overview

We are looking for a detail-oriented Administrative Assistant to provide essential support to management and the OEM department. This role involves a combination of administrative duties and executive support, ensuring the efficient operation of department activities and management functions.


Key Responsibilities

Administrative Support:

  • Assist the Project Administrator with workshop overtime and PRP entries.
  • Maintain files and records for administrative activities.
  • Provide regular updates as required.
  • Prepare reports, presentations, and documents with accuracy and professionalism.
  • Coordinate travel arrangements, accommodations, and Visa/Passport applications for management.
  • Draft and edit correspondence, emails, memos, and reports.

Project & Procurement Assistance:

  • Organize project logistics and prepare materials for site operations.
  • Maintain OEM project files on the server for easy accessibility.
  • Capture credit card expenses into Intact.
  • Arrange accommodation and meals for site employees.
  • Perform general administrative tasks such as filing, scanning, copying, and data entry.
  • Assist in supplier onboarding, ensuring all required documentation is processed.
  • Ensure compliance with company policies and procurement regulations.
  • Work closely with receiving departments to confirm orders and resolve discrepancies.
  • Track and monitor purchase orders and deliveries to ensure timely receipt of goods.
  • Handle purchase order requests, amendments, and cancellations.

Additional Duties:

  • Assist with MySHEQ System data capturing as needed.
  • Support the Workshop Manager with data entry and administrative tasks.
  • Perform other business-related duties as required.

Requirements & Qualifications

Office Administration qualification
0-2 years of relevant experience
✔ Strong organizational and multitasking skills
✔ Proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint)
✔ Excellent communication and problem-solving abilities
