Sales & Administrative Support Specialist

Duties & Responsibilities

  1. Follow up with clients via phone and email.
  2. Respond to client inquiries promptly through phone and email.
  3. Prepare and send sales proposals to clients.
  4. Assist in answering the switchboard (ensure calls are answered within three rings).
  5. Maintain and update the CRM system (Pipedrive/database).
  6. Organize and manage the filing system, ensuring drawings, quotations, and client communications are properly stored.
  7. Create and manage new client files for new deals.
  8. Update the supplier feedback list in coordination with the Operations Manager and management team.
  9. Provide feedback to international suppliers.
  10. Ensure annual CIDB registrations are completed and maintained.
  11. Work with auditors to update company documents and share them via the company documents chat.
  12. Update tender portals with required documents and ensure Jessen Pty is listed in databases for all regions.
  13. Prepare and submit tenders within the required deadlines.
  14. Update and maintain quotation templates.
  15. Generate customer invoices and liaise with clients regarding outstanding payments.
  16. Send out monthly statements to clients.
  17. Maintain and update invoicing and cost of sales reports.
  18. Communicate with customers and the Department of Labour regarding Annex 1 and lift registrations.

Experience & Qualifications

  • 7-10 years of relevant experience.
  • Proficiency in Pastel (Project Debtors).
  • Advanced Excel skills.
  • Excellent telephone etiquette.
  • Strong English communication skills (verbal & written).
  • Exceptional customer relations abilities.
  • Fast and accurate typing skills.
  • Experience in tender preparation and submission.
  • Highly organized, detail-oriented, and systematic.
  • Ability to maintain a well-structured filing system with precision.
