Introduction: Intercape seeks to hire a Tracking Administrator for its Operations department, stationed at the Cape Town Depot.
Duties & Responsibilities:
Vehicle Monitoring System:
- Aid in ensuring alignment of vehicle databases.
- Assist in aligning driver databases.
- Coordinate daily vehicle health checks and maintenance needs.
- Manage national stock of driver identification tags.
- Provide movement reports and TACHO reports upon request.
- Assist in installations and de-installations as needed.
- Identify drivers using incorrect tags and coordinate corrective actions.
- Compile tracking-related reports.
- Contribute to tracking-related projects.
On-Route Monitoring:
- Ensure all journeys are loaded into the route management system.
- Investigate and document any anomalies.
- Monitor vehicles according to timetables and the route management system.
- Investigate and document any exceptions.
- Compile route management reports.
- Identify potential system anomalies.
Onboard Video Camera:
- Coordinate actioning of onboard camera footage.
- Distribute overdue reports.
- Manage daily vehicle health checks and maintenance.
- Contribute to onboard camera system projects as needed.
- Provide assistance related to onboard cameras.
- Compile reports for ad-hoc requests.
Employee Management:
- Comply with office hours or notify Manager of deviations.
- Discuss and apply for leave in a timely manner.
- Notify Manager of illness according to policy.
- Provide necessary documents as per policy.
- Update attendance records daily.
- Comply with policies and procedures.
- Participate in meetings.
- Maintain professionalism in interactions with colleagues.
Fleet Administration:
- Provide ad-hoc reports.
- Generate orders for products and services.
- Ensure timely processing of invoices.
- Assist with general administration tasks.
- Participate in internal and external meetings.
- Maintain asset registers.
- Coordinate driver tag reconciliations.
Effective Utilization of Systems:
- Stay informed about system enhancements and changes.
- Keep up to date with policy and procedure changes.
- Enhance knowledge of Microsoft packages.
- Ensure accurate data entry in relevant systems: MiX Telematics, SOPS, MOVE.
Desired Experience & Qualifications:
- High school diploma.
- 3-5 years of operational experience.
- Proficiency in Vehicle Monitoring Systems and On-Board Camera Systems.
- Experience in an operational environment.
- Strong organizational skills.
- Ability to work under pressure and meet deadlines.
- Capable of working independently and collaboratively.
