Job Description:

Key Responsibilities:

A. Management of Key HSE Safety Agenda Items:

  • Act as the trained and compliant HSSE and Fire Marshall for the Midstream floor at the office, representing Midstream in various safety meetings.
  • Communicate the office safety agenda and meeting schedules as required.
  • Maintain the Midstream HSSE notice board for effective safety communication.
  • Manage the Midstream DSS database and submit reports to line managers for necessary actions.

B. Provision of Secretarial and Administrative Support:

  • Handle diary management and coordinate internal meetings, travel arrangements, and ad hoc tasks as needed.
  • Manage and follow up on actions, emails, and correspondence.
  • Coordinate team meetings and assist with travel arrangements for external guests and third parties.
  • Manage monthly expense capturing via the Concur System.
  • Control office stationery purchases and issuance.
  • Assist in planning and coordinating external meetings and office events.
  • Maintain the annual leave roster for the General Manager Midstream and direct reports.
  • Provide administrative support for international visitors.

C. Coordination and Management of Other Administrative Activities:

  • Process Purchase Orders and maintain the PO database to ensure compliance and timely closure.
  • Assist in the preparation of presentation materials.
  • Coordinate and plan CBM monthly reviews in liaison with the CBM team.
  • Maintain the Midstream and Refining DMS database.
  • Act as the POPIA Act SPA for Midstream and Refining.
  • Arrange monthly Midstream and Refining Townhalls.

Job Holder Requirements:

Education:

  • Matric, Secretarial Diploma, or equivalent.

Experience:

  • Previous experience in an Executive Support Role (3-5 years), with relevant experience supporting Senior Leaders/Executives.
