Job Description
Purpose: The primary role of this position is to manage the administration office for the business unit at a specific site. This includes planning activities, organizing resources, mitigating risks, and ensuring the efficient and timely execution of all administrative tasks related to quality, quantity, efficiency, and financial requirements.
Responsibilities:
Site Administration:
- Accurately complete requisitions for all purchases.
- Ensure correct contract allocations on requisitions.
- Obtain proper approvals for all purchases.
- Maintain and manage site costing documentation.
Safety and Training Administration:
- Ensure a backup of the database is always available.
- Safeguard office property from loss or damage.
- Maintain proper housekeeping within the Site Office.
Personal Administration:
- Act as a liaison between the Site Administrator, Site/Contract Manager, Wage Office, and HR Department.
- Compile and forward monthly HR report figures to the Site Administrator.
Wage Administration:
- Manage and forward the time book documentation for wages on a monthly basis.
- Register and handle all wage-related queries.
Communication:
- Record minutes from monthly communication meetings.
- Serve as a link between employees and Site Administrator/Management.
Qualifications:
- Grade 12.
- Certificate in Finance or HR Administration.
Experience:
- Minimum of 1 year of previous administrative experience.
