Personal Assistant

Position Summary:

This role requires a highly organized and experienced individual to provide comprehensive administrative and secretarial support to the Head of Department. The ideal candidate will be adept at managing office operations, coordinating activities, and ensuring efficient communication flow within the council.

Essential Qualifications and Experience:

  • Matriculation (Grade 12)
  • Secretarial Diploma
  • Minimum of 5 years of relevant experience in a similar administrative environment.
  • Excellent communication skills (written and verbal).
  • Demonstrated ability to assess situations and respond appropriately.

Key Responsibilities:

  • Act as a liaison between Council offices, departments, and structures regarding service delivery matters.
  • Maintain high-quality administrative standards as directed by management.
  • Efficiently resolve queries and problems, escalating complex issues as needed.
  • Effectively plan and organize personal and routine work tasks.
  • Manage inquiries and complaints for the Head of Department, providing timely feedback.
  • Coordinate meetings, workshops, and related logistics (catering, venue, AV equipment, documentation).
  • Ensure the smooth operation of the Head of Department’s office, including office systems and administration.
  • Manage all incoming and outgoing correspondence according to established file plans and registry procedures.
  • Create and manage documents using word processing, spreadsheets, email, and other office applications, including drafting correspondence.
  • Comply with all relevant standards, policies, and Standard Operating Procedures.
  • Evaluate personal performance and seek feedback on assigned tasks.
  • Perform other related administrative and clerical duties as assigned.
