Our client, a leader in cutting-edge medical technology, is seeking a highly organized, efficient, calm, and proactive assistant to start in January 2024.
The ideal candidate should function in a composed and organized manner, be fluent in Afrikaans, and have a minimum of 2 years of experience in a high-pressure administrative role. Proficiency in the MS Office suite is a fundamental requirement.
Responsibilities encompass, but are not restricted to:
- Managing case bookings (sending them out on the calendar, adding to FM & OS).
- Sending out quotations and cancellation emails when necessary.
- Updating the board.
- Tracking technicians’ schedules, including late arrivals, travel, and weekend cases.
- Capturing JC & DN on Filemaker, OS, and FM.
- Updating quotations upon receiving paperwork.
- Handling travel bookings (flights, accommodation, car hire) and international travel arrangements (flights, visa applications).
- Managing the diary by confirming and setting up appointments.
- Handling expenses.
- Receiving and dispatching stock and equipment, with updates to the waybill spreadsheet.
- Conducting stock takes.
- Confirming cases the day before and sending out allocations.
- Sending out stock totals three times weekly.
- Adding all JHB, KZN, PE, Bloem orders to OS and FM.
- Managing Capex quotations and updating Capex costing files.
- Capturing all LMS training and maintaining training schedules.
- Overseeing the BEE process.
- Requesting payments from Directors if necessary.
- Receiving calls and following up as required.
- Ordering water from Mineral Man.
- Conducting sales calls for NDI stock.
- Assisting with follow-ups on order numbers if requested.
- Ordering office stationary.
- Logging faults with Cool Ideas & Telkom.
- Requesting additional stock orders once minimum stock levels are reached.
- Handling Filemaker reports and processing online orders.
The working hours are from 8:30 am to 4:30 pm, Monday to Friday.

The role offers a starting basic salary of R16,000. Upon completing the probation period, the company will increase the basic salary and contribute an additional 50% towards the main member’s medical aid, 50% towards the provident fund, and an average of R500 for a standby allowance (on standby one weekend a month), resulting in an approximate take-home pay of R17,000 after deductions of medical/provident/tax/UIF.
The position commences in January 2024. The offices are located in Weltevreden Park, and there is an annual XMAS closure. Ideally, the candidate should reside within a maximum of 15 km from the office.
