Job Purpose:
To provide administrative support, ensuring that all relevant processes are effectively managed and maintained in alignment with departmental and business requirements. This role supports operational efficiency by handling key administrative functions in line with Nedbank’s strategic goals.
Key Responsibilities:
- Diary Management: Coordinate and manage schedules efficiently.
- Expense Processing: Handle reimbursements and invoice processing via the ARIBA system.
- Travel & Accommodation Arrangements: Manage guest/staff lists and dietary requirements.
- Meeting Coordination:
- Book meeting rooms and arrange catering.
- Draft and update agendas for MANCO and DIVCO meetings.
- Record minutes and track matters arising.
- Arrange parking for visitors.
- Service Level Agreements (SLA) Compliance: Ensure tasks are completed within agreed timelines.
- Risk Management:
- Maintain accuracy in processing activities to mitigate financial and reputational risks.
- Adhere to policies and procedures to minimize operational risks.
- Client Service:
- Address queries within agreed SLAs to meet internal and external client expectations.
- Communicate effectively with stakeholders, including regulators, to ensure smooth operations.
- Process Administration:
- Monitor and maintain relevant processes, ensuring efficiency and accuracy.
- Identify and correct discrepancies in records.
- Report exceptions promptly to mitigate risks.
- Continuous Improvement & Compliance:
- Stay updated on industry regulations and best practices.
- Contribute to a culture of innovation by identifying and suggesting process improvements.

Qualifications & Experience:
Essential Qualifications:
- Matric / Grade 12 / National Senior Certificate
- Advanced Diploma or National First Degree
Preferred Qualification:
- Relevant banking diploma or equivalent certification
Experience:
- 5 – 7 years of experience as an Office Administrator or Personal Assistant in the Financial Services or Insurance industry.
- Experience supporting multiple functional teams, particularly Finance and Actuarial.
Technical & Professional Skills:
- Strong administrative procedures and system management skills
- Proficiency in data analysis and Microsoft Office applications
- Knowledge of relevant regulatory frameworks
- Effective business writing skills
- Familiarity with internal systems and operational processes
