Key Duties and Responsibilities
- Procurement:
- Purchase materials, supplies, and equipment as needed.
- Establish and maintain strong relationships with suppliers.
- Administrative Support:
- Prepare and type documents, reports, and correspondence.
- Complete and distribute forms and documents in line with company procedures.
- Answer phone calls, provide information, take accurate messages, or transfer calls appropriately.
- Locate and attach relevant files to incoming correspondence that requires replies.
- Maintain office filing systems (both paper and electronic) and storage solutions.
- Data Management:
- Update and manage databases, including mailing lists, contact lists, and client information.
- Retrieve information upon request.
- Conduct research to find required information, utilizing online resources as needed.
- Scheduling and Meetings:
- Organize and coordinate appointments and meetings.
- Ensure office equipment is well-maintained and serviced regularly.
- Documentation:
- Proofread documents for spelling, grammar, and adherence to company formatting standards.
- Fax, scan, copy, and file documents.
- General Support:
- Perform errands as requested.
- Adapt to and learn new office technologies and processes as they are introduced.
- Manage incoming and outgoing mail and deliveries.
- Coordinate and assist with ADHOC projects, such as tenders.
- Project Management:
- Oversee and execute assigned projects and tasks.
- Manage drivers’ garage cards and trip sheets.
Desired Skills and Qualifications
- Proficient in both written and oral communication.
- Fluent in Afrikaans and English.
- Strong MS Office skills.
- Excellent organizational, planning, and multitasking abilities.
- Effective work management and prioritization skills.
- Ability to perform well under pressure.
- Knowledge of the engineering industry.
- Comfortable working in an engineering environment, primarily male-dominated.
- Certificate in Office Administration.
Experience and Age Requirements
- 5–10 years of relevant experience.
- Age: Between 25–35 years.
