Job Overview

The position involves meticulous coordination and execution of office procedures, along with handling specific projects and tasks.


Key Duties and Responsibilities

  • Procurement:
    • Purchase materials, supplies, and equipment as needed.
    • Establish and maintain strong relationships with suppliers.
  • Administrative Support:
    • Prepare and type documents, reports, and correspondence.
    • Complete and distribute forms and documents in line with company procedures.
    • Answer phone calls, provide information, take accurate messages, or transfer calls appropriately.
    • Locate and attach relevant files to incoming correspondence that requires replies.
    • Maintain office filing systems (both paper and electronic) and storage solutions.
  • Data Management:
    • Update and manage databases, including mailing lists, contact lists, and client information.
    • Retrieve information upon request.
    • Conduct research to find required information, utilizing online resources as needed.
  • Scheduling and Meetings:
    • Organize and coordinate appointments and meetings.
    • Ensure office equipment is well-maintained and serviced regularly.
  • Documentation:
    • Proofread documents for spelling, grammar, and adherence to company formatting standards.
    • Fax, scan, copy, and file documents.
  • General Support:
    • Perform errands as requested.
    • Adapt to and learn new office technologies and processes as they are introduced.
    • Manage incoming and outgoing mail and deliveries.
    • Coordinate and assist with ADHOC projects, such as tenders.
  • Project Management:
    • Oversee and execute assigned projects and tasks.
    • Manage drivers’ garage cards and trip sheets.

Desired Skills and Qualifications

  • Proficient in both written and oral communication.
  • Fluent in Afrikaans and English.
  • Strong MS Office skills.
  • Excellent organizational, planning, and multitasking abilities.
  • Effective work management and prioritization skills.
  • Ability to perform well under pressure.
  • Knowledge of the engineering industry.
  • Comfortable working in an engineering environment, primarily male-dominated.
  • Certificate in Office Administration.

Experience and Age Requirements

  • 5–10 years of relevant experience.
  • Age: Between 25–35 years.
