Full Job Description

Key Responsibilities

Relationship Management

  • Serve as the main point of contact and ambassador for assigned Partners.
  • Build and maintain internal and external networks to understand key teams and priorities.
  • Establish strong relationships with clients and their personal assistants to enhance EY’s reputation.

Diary & Meeting Coordination

  • Manage Partners’ calendars effectively.
  • Monitor meeting attendance and ensure issues are resolved or delegated as needed.
  • Organize logistics and prepare documentation for meetings with oversight when required.

Travel Coordination

  • Plan travel itineraries, including visa arrangements, with a focus on cost-effectiveness.
  • Use preferred providers and adhere to travel and expense policies.

Communication Management

  • Handle communication by monitoring emails, calls, and mail, taking appropriate action or escalating as necessary.

Event Management

  • Plan and coordinate internal events, managing bookings, catering, and attendee lists.
  • Ensure compliance with policies and budgets, attend events as required, and provide necessary documentation.
  • Manage budgets in consultation with the Partner or Manager.

Time & Expense Management

  • Submit timesheets and process expenses and invoices in line with company policy.
  • Reconcile credit card and bank statements with appropriate receipts.

Administrative & Project Support

  • Coordinate meetings, travel, accommodation, and other tasks.
  • Maintain client contact databases and provide ad hoc project support.
  • Assist with training hour logs, procurement systems, stationery supplies, and visitor reception.
  • Provide backup support during colleague absences.

Required Experience & Skills

  • Experience in a professional services or corporate environment preferred.
  • Confidence in engaging with senior stakeholders and clients.
  • High attention to detail and ownership of quality deliverables.
  • Strong relationship-building abilities across diverse teams.
  • Effective team player with a proactive approach to meeting Partner expectations.
  • Forward-thinking and able to anticipate challenges.
  • Excellent organizational and prioritization skills.
  • Calm, professional demeanor under pressure.
  • Familiarity with global time zones and travel logistics.
  • Proficiency in Microsoft Office Suite.
