We are seeking a qualified and experienced Fleet Administrator to join our dynamic and highly skilled Fleet Team. This is an exciting and rewarding career opportunity for the right candidate.

Reporting To: Operations Manager

Position Overview

The Fleet Administrator will provide efficient and effective administrative support, including collating, preparing, and maintaining up-to-date information within the operating systems and supporting various business functions.

Specific Responsibilities

  • Attend to requests for quotations from relevant business functions.
  • Update the operating system with calculations and dealer quotes received.
  • Convert signed quotes into deals and prepare delivery documents.
  • Ensure the operating system is updated with relevant information.
  • Activate deals and ensure goods are received on the system post-delivery.
  • Prepare restructure contracts per customer request and pricing calculations.
  • Activate restructure changes on the operating system as signed off by the customer.
  • Engage with relevant business functions on contracts nearing the end of term and take appropriate action.
  • Terminate contracts on the operating system as confirmed by the relevant business functions.
  • Prepare settlement letters with supporting documentation for terminated contracts and send them to the Customer Relationship Manager.
  • Utilize telematics solutions to monitor fleet optimization and ensure operational efficiency and safety.
  • Coordinate the order and distribution of value-added services per customer requests.
  • Ensure supplier systems are updated with relevant vehicle and driver information.
  • Ensure eTags and fuel cards are linked to the correct vehicle and driver.
  • Align the operating system with various supplier systems and address any identified variances.

Qualifications and Experience

  • Matric / Grade 12
  • National Diploma in Fleet Management, Supply Chain, Logistics, or a related field
  • Experience in fleet management is advantageous
