Executive Assistant (Accounting-Focused) – Job Description

Introduction
We are looking for a highly organized and detail-oriented Executive Assistant with a solid accounting background to provide comprehensive support to senior management. This role combines executive assistance (30%) with accounting responsibilities (70%), requiring strong financial expertise, exceptional organizational skills, and the ability to handle confidential matters with discretion.
Key Responsibilities
Accounting & Financial Management
- Manage full accounting and financial reporting up to financial statement level for designated entities.
- Oversee accounts payable, accounts receivable, general ledger maintenance, and reconciliations.
- Ensure compliance with VAT, tax submissions, and regulatory requirements.
- Supervise financial operations of management companies dealing with international entities.
- Monitor financial performance, prepare reports, and conduct variance analysis.
- Assist in budgeting, forecasting, and cash flow management.
- Support audit preparation and liaise with auditors for compliance.
- Oversee expenditure and banking relationships, optimizing financial efficiency.
Corporate Structuring & Project Management
- Execute corporate finance and structuring initiatives.
- Assist the board in implementing corporate strategies and governance improvements.
- Identify and implement process improvements for operational efficiency.
Company Secretarial Duties
- Maintain statutory records, draft resolutions, and oversee regulatory filings.
- Ensure adherence to corporate governance requirements.
- Coordinate trust administration and board activities.
Executive Support & Administration
- Manage the Director’s calendar, ensuring efficient scheduling and prioritization.
- Arrange domestic and international travel.
- Handle confidential correspondence and act as a liaison for internal and external stakeholders.
- Assist in event planning and corporate engagements.
Operational Coordination
- Organize and maintain key documentation, including KYC, FICA, and board packs.
- Act as the primary contact for office management tasks and liaise with service providers.
Leadership & Strategic Support
- Provide strategic insights and recommendations to the Director based on financial data.
- Foster internal collaboration to support organizational objectives.
- Ensure timely execution of tasks while maintaining high-quality standards.
Qualifications & Experience
Minimum Requirement: BCom Accounting or equivalent.
Experience:
- Completed articles at a registered accounting/auditing firm.
- 3–5 years post-articles experience in a similar role within a dynamic environment.
- Proven expertise in accounting, financial reporting, and company secretarial functions.
- Familiarity with corporate finance and structuring projects.
- Proficiency in Sage, Draftworx, Microsoft Office, eFiling, and CIPC.

Compensation & Benefits
💰 Salary: R25,000 – R35,000 per month (based on experience).
