Full Job Description Facilities Administrator

Primary Purpose of the Job Provide administrative and clerical support to the facilities team and building managers, including typing letters and reports, issuing orders, answering calls, and performing other standard office duties.

Key Performance Areas (KPAs)

  • Compile and prepare comprehensive management and operational reports.
  • Offer general administrative support and manage documents for the operations department.
  • Manage, control, log, and streamline all maintenance calls and ensure their completion.
  • Assist in obtaining quotes and issuing orders to service providers.
  • Act as a liaison interface for customers and suppliers.
  • Resolve or appropriately refer questions, requests, complaints, and problems.
  • Perform ad hoc tasks as requested.
  • Create orders, process invoices, follow up on outstanding invoices, manage contractual payments, monitor jobs, etc.

Job Specific Requirements

Job Knowledge:

  • Familiarity with company policies and procedures (desirable)
  • Functional knowledge of the procurement process (desirable)

Job-Related Skills:

  • Essential: Oral and written communication skills, general administrative and report writing skills, computer proficiency, time management skills
  • Desirable: Conflict and dispute resolution skills, problem-solving skills

Job Experience:

  • Essential: 2 years of general administrative experience
  • Desirable: 1 year of experience with company systems, technical property-related experience, customer and supplier liaison experience


  • Essential: Grade 12
  • Desirable: Administrative or technical diploma/certificate

Competency Requirements:

  • Essential: Quality orientation, organization, results-driven, teamwork, written communication, customer focus, reliability
  • Desirable: Oral communication
