Job Purpose
The Recruitment Administrator provides critical administrative support for the recruitment and placement of candidates across various programs, including graduate, internship, and youth employment initiatives. This role encompasses key recruitment activities such as advertising positions, shortlisting applicants, organizing interviews, and ensuring efficient onboarding processes. The Recruitment Administrator will collaborate with cross-functional teams to implement recruitment strategies effectively and achieve successful candidate placements aligned with client and organizational goals.
Qualifications & Experience
- Education: Matric (Grade 12) required; Diploma in Office Management, Business Administration, Human Resources, or a related field preferred.
- Technical Skills: Proficient in MS Office, Gmail, CRM, and ATS systems.
- Experience: 1-2 years in office management or administration roles; experience in the YES or learning division (e.g., SETA) is advantageous.
- Skills: Familiarity with office management procedures, excellent communication and interpersonal abilities, strong organizational and leadership skills, and report writing expertise.
Duties & Responsibilities
- Review recruitment documents (e.g., client agreements, job descriptions) and ensure alignment with recruitment processes.
- Advertise job vacancies on job boards and ATS systems, ensuring replacement vacancies are managed promptly.
- Screen and shortlist CVs, aligning candidates with job specifications in consultation with the Recruitment Officer.
- Submit shortlisted candidates to the Recruitment Officer and client for further consideration.
- Coordinate interview schedules with the Recruitment Officer, preparing and distributing interview-related documentation promptly.
- Ensure interview schedules reach clients or host partners three days before the interview date.
- Assist in conducting reference and background checks before candidate onboarding.
- Manage post-interview communication, including outcomes and required documentation through ATS systems.
- Prepare and distribute offer letters and employment contracts, ensuring timely collection of signed contracts.
- Collaborate with the Recruitment Officer and Workplace Coordinator on orientation schedules.
- Work with departments to explore diverse recruitment channels and attract talent.
- Represent the organization at career fairs and recruitment events, engaging potential candidates.
- Maintain accurate candidate and client data in ATS systems and Drive.
- Follow Recruitment Standard Operating Procedures (SOP) for all recruitment processes.
- Compile candidate onboarding documents for payroll and compliance.
- Provide administrative support across recruitment functions and respond to candidate inquiries, escalating complex issues when necessary.
- Collaborate with HR, Finance, and Operations teams to support recruitment efforts.
- Participate in team meetings, contributing insights and supporting team efforts.
- Generate recruitment reports and support ongoing recruitment projects.
