Duties and Responsibilities:
- Provide essential administrative support, including minute drafting and travel arrangements.
- Manage office supply inventory to ensure essential items are always available.
- Oversee procurement, filing, and maintain both digital and physical filing systems.
- Ensure high-quality documentation is provided to management.
- Assist management with administrative needs and project initiatives.
- Schedule, coordinate, and log meetings efficiently.
- Maintain strong stakeholder relationships by addressing queries and concerns.
- Manage incoming calls and route them to appropriate team members.
- Plan and coordinate organizational events.
- Oversee company vehicles, ensuring safety and maintenance.
- Collaborate with senior operations to ensure building and equipment maintenance for a safe environment.
- Coordinate with vendors for regular facility maintenance.
- Work with the IT team to resolve equipment issues for seamless operations.
- Monitor asset security and usage.
- Ensure compliance with office safety regulations and protocols.
- Take responsibility for archiving and legal document storage in collaboration with the Operations Team.
- Participate in capacity-building and training sessions.
- Adhere to THINK’s guidelines, policies, and procedures, aligning with the organization’s ethos.
Requirements:
- Certificate or Diploma in a relevant field.
- Bachelor’s degree in Business Administration or related field preferred.
- Minimum of 2 years’ experience in office administration or operations.
- Valid driver’s license.
- Experience in an NGO environment is an advantage.
- Proficiency in Microsoft Office Suite.
- Strong organizational skills and the ability to handle multiple tasks simultaneously.
- Excellent communication skills, both verbal and written.
- Ability to work independently with minimal supervision.
- Proven ability to collaborate effectively in a team setting.
- Knowledge of office management systems and procedures.
