Full Job Description

Job Purpose:

Provide administrative support to the Product Manager for the Lenovo consumer administration portion of the business. This includes handling client and sales enquiries nationally when necessary.

Responsibilities:

  • Brand Administration:
    • Draw weekly or monthly reports as required.
    • Verify vendor purchase orders against Mustek POs.
    • Manage open orders on vendors.
    • Order and manage warranties on backorders.
    • Create and maintain consistent product codes.
    • Understand costings, shipping models, terminology, and margin management.
    • Develop knowledge of Forex and its impact on business.
    • Assist with accurate and correct quoting.
    • Provide timely solutions and resolve issues.
    • Keep ETAs of incoming stock updated.
    • Capture rebates, settlements, and credit notes in Mustek’s system.
    • Record data in Excel spreadsheets as needed.
    • Monitor rebates on the supplier rebate system.
    • Handle verification and cross-checks for rebate programme completion.
    • Submit claims to vendors within 45 days from the invoice date.
    • Resolve disputes promptly to meet deadlines.
    • Provide backup support to vendor and sales in the absence of the Product Manager.
    • Track and monitor sell out vs. sell in on rebates.
    • Respond to client, sales, and vendor queries.
    • Assist with administration for large accounts (finance and logistics).
    • Help with stock booking at goods receiving.
    • Send product information to clients/sales as needed.
    • Stay updated with the latest technology and products by attending vendor training.
    • Coordinate with sales and rebate manager for loading rebate programmes.
    • Provide overall support to the Product Manager both in-house and when out of the office.
    • Manage and update the Jhb filer.
    • Track/manage crad dates with DSV.
    • Track/manage ETAs with vendor and Mustek.
    • Track/monitor incoming orders.
    • Track/monitor aged stock.
    • Track/monitor open/ready orders with sales.
  • Customer Satisfaction:
    • Understand product life cycles and roadmaps to maximize profitability.
    • Attend vendor symposiums to stay updated on technology.
  • Marketing:
    • Manage demo items and display areas.
    • Occasionally travel to branches, conferences, and symposiums.
    • Assist with marketing flyers, events, and incentives.
    • Contribute to marketing ideas and initiatives.
    • Attend product-related events for networking, learning, and marketing.
  • Training and Development:
    • Develop and maintain MS Office Excel and presentation skills.
    • Research products, technology, and market trends to stay current.
    • Attend scheduled training for product updates.
    • Ensure the sales team and customers are informed of Mustek’s product offerings through training.

Qualifications and Experience:

  • Education:
    • Matric
    • A tertiary qualification in marketing/sales is advantageous
  • Experience:
    • Minimum 1 year in a marketing and sales environment at a similar level

  • Proficiency in Microsoft Office, especially Excel
  • Knowledge of the ICT industry
