Job Profile: Frontline Administrator

Purpose: The purpose of this role is to deliver exceptional initial customer service, providing first-line information aligned with company objectives and values, while also performing various administrative functions.

  • Intermediate proficiency in Microsoft Office, with practical experience.
  • Familiarity with administration systems and office practices.
  • Excellent written and verbal communication skills in English.
  • Above-average numeracy skills.
  • Data entry with a high level of accuracy.

Required Qualifications:

  • Matric/Grade 12 completion.
  • Certificate in Administration (advantageous).


  • Welcoming visitors and directing them to the appropriate staff members.
  • Organizing refreshments for visitors from the canteen.
  • Maintaining cleanliness and attractiveness of the reception area and rooms.
  • Arranging meeting rooms and fulfilling refreshment requests.
  • Handling incoming calls promptly and professionally.
  • Maintaining knowledge of the switchboard system and providing electronic messages/assistance.
  • Managing after-hours switchboard functions, including recorded greetings.
  • Reporting switchboard issues to Epiroc IT.
  • Distributing updated extension numbers and DC numbers to staff.
  • Handling incoming post, faxes, and emails.
  • Sending outgoing faxes.
  • Managing company post collection.
  • Ordering and managing stock of stationery and toner cartridges.
  • Issuing and controlling stationery usage.
  • Fostering healthy relationships with all departments, individuals, customers, contractors, and suppliers.
  • Ensuring all work meets required standards and quality.
