Job Opportunity: Administrative Officer

About the Role
The University of Pretoria seeks a dedicated Administrative Officer to support the Division of Residence Logistics within the Department of Residence Affairs and Accommodation. The role involves assisting in asset and consumables control, inventory management, warehouse administration, and annual asset verification for residences and guest accommodations.
Key Responsibilities
π¦ Warehouse & Stock Management:
- Oversee the receipt, inspection, and documentation of delivered goods.
- Maintain stock records and process supplier payments.
- Enforce access control and ensure the safe handling of furniture and stock.
- Conduct monthly stock audits and report any discrepancies.
π Asset & Inventory Control:
- Maintain an updated asset register and ensure correct asset numbering.
- Participate in annual asset verification audits.
- Coordinate the distribution of assets and inventory across residences.
π Linen & Kitchen Inventory Coordination:
- Keep track of linen stock and coordinate packing and distribution.
- Manage inventory for kitchen appliances and small equipment.
- Plan and forecast annual stock requirements.
π Logistics & General Assistance:
- Assist in preparing residences for guests during recess periods.
- Support the logistical movement of assets during renovations.
- Ensure compliance with Occupational Health and Safety (OHS) regulations.
Minimum Requirements
β Option 1: National Diploma (3 years) in a relevant field + 2 years of experience in:
- Stock management
- Stock management systems
- Occupational Health & Safety compliance
- Valid Driverβs License (Code EB)
β Option 2: Grade 12 (Matric) + 4 years of experience in:
- Stock management
- Stock management systems
- Occupational Health & Safety compliance
- Valid Driverβs License (Code EB)
Required Competencies
π‘ Knowledge of:
- Occupational Health & Safety regulations
- Equipment and tools used in stock management
- Furniture assembly and maintenance
- Household cleaning chemicals
π» Technical Skills:
- Microsoft Office Suite & Google Suite
- General computer literacy
π€ Behavioral Competencies:
- Ability to work independently and within a team
- Strong organizational and time management skills
- Adaptability to changes in tasks and work environments
Preferred Qualifications & Experience
βοΈ Bachelorβs degree in a relevant field
βοΈ Experience in higher education institutions
βοΈ Supervisory experience
βοΈ Professional Driving Permit (PrDP)
Compensation & Benefits
- Salary package aligned with UP policy and the level of appointment.
