We are currently looking to appoint a qualified candidate to the position of Administration Clerk based in Brits.
Job Summary
The Administration Clerk will be responsible for receiving, capturing, and distributing all samples to ensure accurate information is recorded and to facilitate the timely processing of samples in line with service objectives.
Duties & Responsibilities
- Sample Management: Administer sorting and distribution of samples according to standard operating procedures to ensure proper and prioritized channelling of specimens to various laboratories/sites.
- Registration and Queries: Process sample registration (“logging”) and handle queries according to standard procedures.
- Specimen Dispatch: Ensure the timely dispatching of specimens for processing and monitor the progress and filing of reports, including handling queries and report delivery, in line with turnaround times.
- Hospital Rounds: Perform hospital rounds to distribute reports and collect samples for processing as per standard procedures.
- Administrative Support: Handle and refer administrative queries and customer complaints to ensure timely resolution and response.
- Courier Tracking: Track the progress of sample delivery by couriers to ensure specimens are received by the designated laboratory, processed, and results returned promptly.
- Housekeeping: Maintain basic housekeeping in the work area, including cleaning and preparing equipment according to standard procedures.
- Stock Management: Monitor stock levels and order additional stock to ensure the availability of required materials at all times, including delivery to doctors’ rooms.
- Customer Care: Represent the organization by applying principles of customer care in the medical pathology field and interact professionally and ethically with medical professionals and staff.
- Reception Management: Manage the reception area, provide relevant information, and direct clients to appropriate departments while offering excellent customer service.
- Cash Handling: Receive cash from patients and ensure the banking of monies in accordance with standard procedures.
- Incident Reporting: Report incidents, log customer complaints, and problem solutions, read documents, and action tasks on the laboratory information management system as per organizational policy.
- Document Scanning: Prepare and scan patient forms onto the laboratory scanning system (Oculus) and resolve scanning issues according to standard procedures.
- Uniform Adherence: Adhere to Lancet uniform protocols as per standard procedures.

Qualification Requirements
- Matric qualification
- BSc qualification will be an advantage
Required Experience
- 0 – 1 year of relevant working experience
- Previous work experience in an administrative environment will be an advantage
