Job Description

Job Purpose:

Bidvest International Logistics is seeking a highly motivated and detail-oriented Admin Clerk with strong warehouse administration experience. The ideal candidate will be proficient in invoice capturing, inventory management, and warehouse management systems (WMS). Attention to detail and familiarity with picking instructions are essential.

Qualifications & Experience:

  • Grade 12
  • Minimum of 3 years of warehouse administration experience
  • Proficiency in WMS

Key Responsibilities

1. Stock Management & Planning

  • Maintain accurate stock records within the Supply Chain Facility for efficient operations.
  • Capture all incoming cargo and verify delivery notes against BIL tally sheets.
  • Report any discrepancies to the Supervisor and Stock Controller.
  • Input stock information into BIL and customer systems.
  • Check theoretical stock availability on customer systems and reconcile with physical stock when required.
  • Report any stock discrepancies, damages, or expired/short-dated stock to the Stock Controller and clients.
  • Issue picking instructions in line with the BIL delivery schedule to ensure timely dispatch.
  • Validate picking instructions before invoicing to confirm correct stock and dispatch dates.
  • Handle general office administration, invoicing, and document management for BIL clients.
  • Ensure all PODs (Proof of Deliveries) and invoices are accounted for, scanned, and managed.
  • Efficiently resolve client queries.

2. Distribution Management & Planning

  • Release and capture orders on Client and BIL systems.
  • Coordinate with the warehouse for order picking, invoice printing, and dispatch capturing.
  • Accurately record receipts and stock returns with the correct return reason codes.
  • Maintain proper documentation for incoming and outgoing cargo.
  • Generate reports and spreadsheets for management and clients.
  • Prepare client charge-out reports and submit them for processing.
  • Follow up on outstanding invoices and orders.

3. Project Management

  • Assist in enhancing administrative systems to improve efficiency for BIL and its clients.

4. Communication & Coordination

  • Liaise with third-party depots, sales agents, and warehouse teams to resolve issues and ensure smooth operations.
  • Maintain regular communication with clients to address concerns and provide solutions.
  • Adhere to all BIL policies and procedures.

5. General Duties

  • Ensure compliance with client agreements and deadlines.
  • Maintain health and safety regulations in the workplace.
  • Fulfill assigned SHE (Safety, Health, and Environment) responsibilities.
