Duties & Responsibilities

Administration

  • Welcome and assist visitors professionally, addressing their requests and queries.
  • Answer and manage telephone calls courteously and efficiently.
  • Handle administrative processes for new owners and tenants, ensuring accurate record-keeping.
  • Document, investigate, and resolve complaints efficiently, escalating to the General Manager when necessary.
  • Coordinate maintenance requests and follow up with contractors.
  • Ensure compliance with POPIA protocols and manage original documentation.
  • Oversee estate administrative procedures, filing, and record-keeping.
  • Reconcile parking rental and telephone accounts monthly.
  • Suggest improvements for operational efficiency.
  • Liaise with Head Office when required.
  • Manage resident transport bookings and outing schedules.
  • Take and distribute meeting minutes for management and staff meetings.
  • Handle post distribution and processing of installation requests.
  • Maintain office supplies and equipment in proper working condition.
  • Procure goods and services cost-effectively under the General Manager’s instructions.
  • Maintain up-to-date administrative records, including fingerprint checks, financial statements, and employee details.

Financial Administration

  • Assist owners with levy statement queries.
  • Process requests for installations or unit adjustments.
  • Facilitate resident transactions, including electricity, stamps, meals, photocopying, bus fees, and access tags.
  • Handle daily cash deposits, banking transactions, and financial reconciliations.
  • Ensure efficient and accurate expense and income tracking.
  • Prepare invoices for approval and maintain accurate financial records.
  • Complete daily, weekly, and monthly financial reports as assigned by the General Manager.

Stakeholder Relations

  • Build and maintain strong relationships with owners, tenants, contractors, managing agents, and staff.
  • Serve as a communication link between residents and the General Manager.
  • Promote the Estate’s reputation and establish connections with external agencies and service providers.
  • Address resident concerns and escalate issues when necessary.

General Duties

  • Assist the General Manager with staff attendance tracking and payroll calculations.
  • Participate in estate planning and service improvement initiatives.
  • Attend supervision and appraisal meetings regularly.
  • Ensure compliance with legislation, policies, and procedures.
  • Uphold the Estate’s positive image by handling customer interactions professionally.

Desired Experience & Qualifications

Minimum Requirements

Grade 12 (Matric)

Experience & Skills

✔ Experience in customer service, administration, or secretarial roles
Debtors/creditors experience
✔ Proficiency in Microsoft Office (Word & Excel)
✔ Strong ability to handle customer queries and complaints

Additional Competencies

✔ Bilingual (English & Afrikaans – verbal and written)
✔ Strong communication and interpersonal skills
✔ Excellent planning, organization, and time management
✔ Detail-oriented with problem-solving abilities
✔ Ability to work under pressure and handle conflict management
