Introduction:

We are looking for a highly organized and detail-oriented Administrative Assistant to provide essential support to brokers and financial advisors. The ideal candidate will play a crucial role in ensuring efficient administrative operations, managing client interactions, and maintaining compliance within a fast-paced financial services environment.


Key Responsibilities:

1. Administrative Support

  • Provide comprehensive administrative assistance to brokers and advisors.
  • Organize and maintain client files, documentation, and correspondence.
  • Assist in the preparation of client proposals, reports, and presentations.
  • Update and manage CRM systems and databases.
  • Handle scheduling, calendar management, and appointment coordination.

2. Client Service & Communication

  • Serve as the first point of contact for client inquiries, ensuring professional and timely responses.
  • Coordinate and schedule client meetings, prepare agendas, and take minutes.
  • Follow up on client requests and ensure all required documentation is received.
  • Maintain strong client relationships by providing regular updates and assistance.

3. Compliance & Documentation

  • Ensure all client documentation and transactions comply with regulatory and company policies.
  • Assist in completing and submitting financial applications and compliance paperwork.
  • Maintain accurate records of client interactions and transactions.
  • Support advisors in meeting compliance deadlines and reporting requirements.

4. Operations & Workflow Management

  • Assist with processing applications, policy updates, and claims submissions.
  • Liaise with insurers, asset managers, and financial institutions regarding policies.
  • Track and follow up on pending applications and approvals.
  • Identify and resolve operational challenges in daily workflows.
  • Support brokers and advisors with client engagement initiatives and event coordination.

Desired Qualifications & Experience:

  • Education: Diploma or degree in Business Administration (preferably within financial services).
  • Experience: Minimum of 3 years in an administrative role, preferably in financial services.
  • Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and CRM systems.
  • Regulatory Knowledge: Understanding of financial regulations and compliance requirements is a plus.
  • Communication: Strong verbal and written communication skills, with the ability to interact professionally with clients and stakeholders.
  • Organizational Skills: Ability to multitask, manage priorities, and maintain attention to detail in a fast-paced environment.
  • Problem-Solving: Proactive approach to identifying challenges and implementing effective solutions.
