Job Opportunity: Administration Clerk – Khulisa

We’re Hiring!

We are seeking a dedicated Administration Clerk – Khulisa to provide essential administrative support that ensures the smooth and efficient operation of Khulisa. This role involves overseeing and maintaining the administrative functions within the relevant area.

Key Responsibilities:

  • Coordinate and manage bookings for meetings, seminars, and conferences, including venue selection, logistics, and catering, as per management requirements.
  • Attend monthly management meetings, compile and distribute agendas and minutes, and ensure they meet agreed-upon standards.
  • Maintain archives for all Khulisa regional offices and coordinate with Document Warehouse for document archiving as needed.
  • Initiate the Request for Proposals (RFP) process on e-Cams/Ariba for new or renewal contract requests, ensuring that all business transactions are legally compliant.
  • Manage and track contract approval processes to ensure timely completion and provide accurate feedback to service providers.
  • Print, distribute, and ensure that signed contracts are sent to the Legal department.
  • Maintain and update contractor rates on Forcelink to ensure timely work orders by forestry staff.
  • Generate SAP payment requisitions, process purchase requisitions, order numbers, and invoices, ensuring timely vendor payments in line with company policies.
  • Ensure invoices are submitted within 30 days and finalize transactions on SAP for payment, aligning costs within the same month.
  • Provide back-office support for Forcelink users by coordinating with various business units and external stakeholders to resolve issues promptly.
  • Conduct monthly safety inspections of facilities and equipment.
  • Assist in asset management by maintaining an up-to-date asset register, conducting regular inspections, and overseeing the control of assets and stocks.
  • Support asset disposal and Capex application processes using the electronic Capex system.
  • Compile and edit monthly reports for senior management, ensuring effective communication.
  • Consolidate weekly and monthly statistics by drawing operational reports on Forcelink, updating reports on MS Teams, and circulating them to senior management.
  • Administer the action log system, ensuring follow-up and close-out of tasks.

What We’re Looking For:

  • A matric/grade 12 qualification
  • Preferably an administration-related qualification
  • Minimum of 2 years of relevant experience
  • Strong computer literacy (Word, Excel, PowerPoint)
  • SAP knowledge is an advantage
  • A valid code EB Driver’s license
